The West Basin Municipal Water District (West Basin) is soliciting proposals for the upgrade of audiovisual (A/V) equipment in the Board Conference Room located at its main headquarters in Carson, California (Donald L. Dear Building - DLD). This project aims to improve the overall meeting experience by deploying a modern, fully integrated A/V system that supports the District-s growing hybrid meeting needs.The Board Conference Room is a multi-purpose space that supports a wide range of events, including Board of Directors meetings, Committee meetings, internal staff meetings, and occasional use by external groups. The room accommodates up to 55 participants and is a central location for public governance and operational collaboration.During the COVID-19 pandemic, West Basins IT team implemented a Yealink Microsoft Teams Room System to enable remote participation. While this system has served the District well, the evolving nature of public engagement, virtual collaboration, and hybrid meeting formats now requires a more advanced solution. The District seeks to replace the existing setup with a system that offers:Seamless integration with Microsoft Teams and other collaboration platforms;High-quality audio and video capabilities to ensure all participants are seen and heard clearly;Reliable support for hybrid meetings, ensuring a consistent experience for in-person and remote attendees;Ease of use for District staff and guests;Scalability for future A/V and communication needs;ADA and accessibility compliance, including features like closed captioning and assistive listening.The selected solution should also provide improved interoperability, robust technical support, and centralized control of A/V components. This upgrade is a key part of West Basin-s continued commitment to operational excellence, transparency, and inclusive public engagement.
