• Event System for Annual Meetings The scope of work for the HTPN and IMPAACT Annual Meeting systems can be separated into four different deliverables. 1. Event Registration System  The primary goal is to register attendees for our conference  Allows for different registration paths depending on user type  Offers dependencies/branch logic on registration questions.  Offers custom and automated emails for confirming registration, sending event reminders, etc  Offers the ability to upload relevant conference info (event hotel, agenda, keynote speakers, etc) that allows registrants to make an informed decision about registration  Allows for easy reporting of registrant data  Offers the ability to report on custom registration questions  We currently estimate 300 in person attendees and 300 virtual attendees per conference in 2022  No cost to attendees for registering  Platform to be hosted by the vendor 2. iOS/Android Event App  Free app for attendees that contains all event information such as o Agenda Speakers o Presentations o Conference room locations o Hotel details o Wi-Fi Info  Allow attendees to login and build their own schedule  Allow for attendee-to-attendee networking opportunities  Admin ability to send push notifications (pre-scheduled or ad-hoc)  Ability to update agenda items in real time in case of last-minute changes  Available to both in-person and virtual attendees  Published by the vendor or via FHI 360-s developer accounts Date of Issue of RFP: Thursday, September 16, 2021 Date Written Questions from Supplier Due: Thursday, September 23, 2021, by 3 pm EDT Date Questions from FHI 360 Due Back: Friday, September 24, 2021 Date Proposals Due: Friday, October 8, 2021, by 3 pm EDT Timeframe for Presentations: October 2021 Approximate Timeframe for Award: November 2021 Expected Training Sessions January 2022 2022 Annual Meetings June 2022 (HPTN) and October 2022 (IMPAACT) Conference Debrief Two weeks after each conference
